RoomWizard

In Brief

The first product in Steelcase’s Wizard Web Signs family of information appliances, RoomWizard is a web-accessible touch-screen display that provides real-time status of shared meeting rooms, simplifying the process of reserving and managing those spaces. All a company’s RoomWizards, each connected to a single room, are managed from a single source to avoid the conflicts and interruptions that commonly occur in the workplace.

Each RoomWizard is physically located on a wall outside a meeting room and connected to the organisation’s network. By visiting a single corporate website, people can reserve a space or discover the name of an existing meeting’s leader or topic. Using the touch-screen interface, people can grab an unused conference room at the last minute without being disturbed, and the new reservation is immediately visible on the website. In addition, the RoomWizard features red and green lights that allow users to see the status of a room at a glance.

Meant to appeal both to first-time users and to those technologically savvy early adopters, as well as to be easily maintained by an organisations’s technology managers. The device’s physical form is designed to be universal in order to blend into corporate architecture.

Can a sign outside improve what goes on inside?

You're in a brainstorming meeting and a great idea pops into your head. Just as you begin to think it through, the door swings open. 'Is this the financial review meeting?' After politely redirecting the lost person, you shake your head. You've lost your train of thought.

The fact is, what seem like little inconveniences such as interruptions, people getting lost, and meetings getting bumped before you can agree on action steps can often snowball into a big problem - ineffective use of your time and energy. It seems like it's always been that way.

It doesn't have to be.

Overview

RoomWizard is a web-based scheduling system for meeting rooms and other shared spaces. Unlike e-mail based systems, it incorporates the use of flat-screen displays that are situated outside of the space, confirming people of their reservation. RoomWizard signs reduce meeting interruptions, eliminate scheduling conflicts and encourage a more effective use of shared space.

By delivering real-time information about rooms - what's scheduled, who's reserved them, what the topics are, what times are open and more - right outside the space itself, you eliminate the miscommunication that can cost you lost time, or something more important, like a lost idea.

RoomWizard, part of the Web Wizard Sign system, consists of two components: a sleek, flat-screen sign with a high-resolution display that's placed outside meeting rooms, hotelling offices, and other shared spaces, and scheduling software that you can use from wherever you have access to your company's intranet.

RoomWizard also tracks usage, so the facility manager can have an idea of how many meeting rooms and shared spaces are used. Data on occupancy, planned versus spontaneous meeting reservations and more is available.

RoomWizard signs prominently display a red or green light at all times. So at a glance from down the hall, you will quickly know if the room is in use.

With RoomWizard, you can:

There are two operating modes that the RoomWizard can be configured in;

"Classic Mode"

Classic mode enables users to access the RoomWizard interface via a Web browser. There is no need to install special client software or Microsoft Outlook to access the device. All end-user functions are available through classic mode.

"Synchronised Mode"

Synchronise RoomWizard displays with Microsoft Exchange reservation system. End users make room reservations as usual in Microsoft Outlook, and RoomWizard displays interactive meeting information outside of each meeting room.

Reporting Tool

Most meeting room reservation methods can tell you the amount of time your rooms are reserved -- intended room usage, that is. But do you know how long those meeting rooms were actually in use?
